Start with a date and a backup
Share your preferred date, approximate start and finish times, and whether another date could work. A venue may have a space available for one part of the day but not another. Wait for the team to confirm availability and booking terms before telling guests that a room is secured.
Describe how your guests will use the space
A seated family meal, a standing birthday gathering and a party with dancing need different layouts. Give us an estimated guest count and mention accessibility needs, children attending or any entertainment plans. Decide what private means to your group
Ask which area would be exclusive to your guests and whether the rest of the hall would remain open. Private and semi-private gatherings offer different experiences. If conversation or speeches are important, ask what public programming is scheduled at the same time and how it may affect your event.

Tell the team about dietary requirements, your preferred service style and how you would like to handle drinks. Request an itemized proposal showing food, beverages and applicable fees, rather than assuming a public menu price is the complete party cost.
